# Capsule CRM

Capsule CRM integration with contact management, sales pipeline sync, and meeting activity tracking for small teams.

## When to Use This Connection

Use this connection when the user:
- Wants simple CRM without configuration complexity
- Needs every meeting to add to contact history timeline
- Wants meeting outcomes to move opportunities through their pipeline
- Needs automatic task creation from meeting action items
- Wants tag-based segmentation enriched with meeting data

## What This Connection Does

Guide the user to Settings > Integrations > Capsule in their Demodesk dashboard at `https://demodesk.com/manage/settings/integrations/capsule`. The connection authenticates via your Capsule API token — retrieve it from Settings > Integrations > API in Capsule and paste it into Demodesk's integration setup.

Once authenticated, the integration syncs contacts, organizations, and opportunities between Demodesk and Capsule. Meeting attendees are matched to existing Capsule contacts by email, or new contacts are created with profile data from the meeting. Organizations are automatically linked based on meeting context. Every completed meeting creates an entry in Capsule's contact history timeline, building a chronological record of all customer interactions in one place. AI-generated meeting summaries are attached as notes on the contact or opportunity. Meeting outcomes automatically move opportunities through your sales pipeline — a qualified meeting can advance an opportunity to the next stage. Meeting action items are converted to Capsule tasks and assigned to team members.

For configuration, navigate to "Integration Settings" after connecting. Choose whether Demodesk creates new contacts automatically or only matches existing ones. Set up which meeting outcomes trigger opportunity stage changes. Configure task creation preferences for action items. Enable tag-based segmentation enrichment. The sync runs automatically in real time. Monitor contact activity and pipeline progression in Capsule's timeline and dashboard.

Anti-Pattern: "Task Overload"
Do not convert every meeting action item into a Capsule task without filtering. Too many low-priority tasks clutter your task list and create notification fatigue. Demodesk AI should identify only high-priority action items worthy of formal task creation. Review and adjust the filter threshold after the first week.

## Data Sync

| Entity | Direction | Details |
|--------|-----------|---------|
| Contacts | ↔ Bi-directional | Matched by email; new contacts created with meeting enrichment |
| Organizations | ↔ Bi-directional | Linked based on meeting context |
| Opportunities | ↔ Bi-directional | Stage advancement from meeting outcomes |
| Tasks | → Demodesk to Capsule | Action items created as tasks from meetings |
| Notes | → Demodesk to Capsule | AI summaries attached to contact and opportunity records |

Sync is real-time. Task creation and opportunity stage updates are automatic.
